Since its establishment in 1972, Shelbourne Reynolds has always used the latest technology to ensure its range of high quality agricultural machinery products are technologically advanced, reliable and durable.

The company's headquarters and main manufacturing facility is based at Stanton near Bury St Edmunds, Suffolk, with a US distribution centre in Colby, Kansas. With more than 120 staff in a mixture of site-based and remote user roles, Shelbourne Reynolds' current Exchange email system was hitting its limits and users were having to archive email to PST files, making email harder to manage and search.

In addition, the business wanted a more robust disaster recovery system. "In the case of a major problem, like a fire, it's essential we don't lose a key form of communication," said Richard.

We recommended Office 365 to give Shelbourne Reynolds a fully integrated messaging solution. This provides 25Gb of storage per user, a huge increase over the 75Gb available to the whole business under its current Exchange system.

"We looked at moving to the latest version of Exchange but the while costs were comparable over a three year period, the company would still have been vulnerable to a disaster," explained Richard.

In order to provide users with their email history and to minimise downtime, we moved mailboxes and past email to Office 365 in the Microsoft Data Centre in a carefully planned sequence.

Office 365 gives users the familiar Office environment while allowing them to securely access their email on the web, providing excellent business continuity in the case of disaster or local power disruption.

Shelbourne Reynolds retains full control of the email accounts, which are backed up, and with Microsoft's 99.9% uptime guarantee, gives them the peace of mind of secure and reliable system.

In the future, as part of the Office 365 license, users can also benefit from access to the latest version of the Office suite of tools: Word, Excel and PowerPoint. There is no upfront cost, with a small monthly fee spreading the cost throughout the year and simplifying licence management.
